Every event we deliver moves through the same five stages, regardless of scale or budget. This consistency is deliberate. It is how we protect your timeline, keep your budget under control and make sure nothing is left to chance between the first phone call and the moment your guests walk in the door. What follows is a genuine look at how we work, not a marketing summary, so you know exactly what to expect at each step of planning your event with us.

Stage One

Discover

Every project begins with a consultation, not a sales pitch. We ask about your vision, your objectives, your audience and your budget, and just as importantly, the story you want your event to tell. Whether you arrive with a fully formed brief or just a date and a feeling, this conversation is where we start building a shared understanding of what success looks like for your event.

We respond to new enquiries within one business day. For corporate events and larger productions, we recommend starting this conversation three to six months out from your event date, which gives us room to design and confirm suppliers properly. For smaller social events and styling packages, six to eight weeks is generally workable. Your only job at this stage is to show up with your ideas, however unfinished they are.

Stage Two

Design

Once we understand your brief, our creative team develops a styling concept and production plan built specifically for your event. This includes mood boards, spatial layouts and supplier recommendations, all tailored to your venue, your brand and your guests rather than pulled from a standard catalogue. You receive clear pricing alongside the concept, so you know exactly what you are approving.

Concept development typically takes one to two weeks depending on the scale of your event, and includes review rounds before anything is finalised. This is the stage where the character of your event takes shape, and we would rather spend the time refining it here than adjusting it once suppliers are booked.

Stage Three

Plan

With the concept approved, we move into the detailed planning phase. This is where the visible creative work is matched by the invisible logistical work: confirming suppliers, securing venue access and bump-in windows, and coordinating every element that needs to land in the right place at the right time.

This is typically the longest stage in the process, running from confirmation through to the weeks immediately before your event. You will receive regular updates and a clear point of contact. That work belongs to us.

Stage Four

Deliver

On the day, our team is on-site for the set up and installation of your theming, design and decor elements. Every moving part we planned for in the previous stages comes together under direct supervision, with someone from our team responsible for each element, before we hand the space over ready for your guests.

We are there for the set up and installation, and we return later for bump-out. We are not often present during the actual event itself, so you and your guests get to enjoy the occasion as it was designed. On the day, your only job is to attend your own event as a guest.

Stage Five

Celebrate

You enjoy your event exactly as designed. Once the set up is complete, the evening is yours: your guests, your celebration, no clipboard in the background. We return once your event concludes to handle bump-out and pack-down. Depending on the venue, this happens the same night or the following morning, coordinated so it never becomes something you need to think about.

We debrief after every event we deliver, reviewing what worked well and what we can carry forward. Continuous improvement is built into how we operate rather than treated as an afterthought, which is part of why the same five-stage process holds up whether your event has thirty guests or five hundred.

Process Questions, Answered

The practical details behind the five stages: timelines, deposits, revisions and what happens on the day.

How long does the process take from enquiry to event day?
It depends on the scale of your event. For corporate events and large productions, we recommend booking at least three to six months in advance to allow time for design, supplier confirmation and detailed logistics. For smaller social events and styling packages, six to eight weeks is generally workable.
Do you require a deposit?
Yes. A deposit secures your date and moves your event into the planning phase. The remaining balance is payable before your event date, with the exact terms and instalments confirmed in your written proposal.
How many rounds of revisions are included in the design phase?
Our design phase includes review rounds before any styling concept is finalised, so you have the opportunity to refine mood boards and layouts before we move into planning. The scope of revisions is set out clearly in your proposal so there are no surprises.
What if my event plans change after we've started?
Because we run a structured process with clear milestones, we can accommodate reasonable changes at each stage. The earlier a change is raised, the more flexibly we can absorb it into the planning already underway.
